This page helps you bring account details from HubSpot into Thorpe: who owns each account, its tier, ARR and renewal date.
Connect HubSpot
- In the web app, go to Settings > Integrations. You need to be a Thorpe admin.
- On the HubSpot card, choose Connect HubSpot.
- Approve Thorpe's access in HubSpot. Thorpe asks only to read companies, company properties and owners. It never writes to HubSpot.
- Back in Thorpe, the card shows Connected and the name of your hub.
A hub can be connected to one Thorpe workspace at a time. If it is already connected to another, Thorpe says "HubSpot is already connected to another Thorpe workspace. Disconnect it there first."
Map your fields
The mapping tells Thorpe which HubSpot company properties to read. Every field is optional. Without a mapping, Thorpe still syncs the owner and the lifecycle stage.
- On the HubSpot card, pick a Tier property, an ARR property and a Renewal date property, or leave any as Not mapped.
- If you picked a tier property, add a row for each of its values: type the value under HubSpot value and pick the Thorpe tier it means.
- Choose Save mapping.
Each value can appear once, and each needs a tier. Otherwise Thorpe says "Each HubSpot value needs a tier, and each value can appear only once." and doesn't save.
Automatic matching
The first time an admin chooses Save mapping, Thorpe matches accounts to HubSpot companies in the background. Under Save mapping, the card says "When the first mapping is saved, Thorpe matches accounts to HubSpot companies in the background." Matching runs once for your workspace: saving the mapping again, or reconnecting HubSpot, doesn't run it again. Accounts added later, and matches you undo, aren't matched again; use Find company.
For each account that isn't linked yet, Thorpe takes the email domain used by the largest number of the account's customers. If exactly one HubSpot company has that domain, Thorpe links the account to it. Thorpe leaves an account unlinked when:
- no HubSpot company has the domain, or more than one does;
- the domain is free mail, such as gmail.com or outlook.com;
- another account's customers mostly use the same domain;
- Thorpe has no email address for any of the account's customers.
An account that is already linked is never changed.
An account linked this way shows an Auto-matched pill on its HubSpot card. The card shows the company's fields. The owner, ARR and renewal date apply at once, so 1. Account owner can route to that owner before you confirm. Only the tier waits for Confirm. Admins choose one of:
- Confirm keeps the link. The pill goes away, and a mapped tier applies.
- Undo removes the link. If the match was wrong, choose Find company to link the right company.
Link an account
Use Find company for an account Thorpe didn't match, or after you undo a match.
- Open the account in Accounts. You need to be a Thorpe admin. The HubSpot card says "Not linked to a HubSpot company."
- Choose Find company. Thorpe searches HubSpot and lists the companies that match.
- Choose Link next to the right one.
The card then shows the company's Owner, Tier, ARR, Renews, Lifecycle stage and when it was Synced. Admins can choose Refresh to sync it now, or Unlink. Open in HubSpot opens the company.
What Thorpe does with it
- Account owner. Thorpe matches the HubSpot owner's email address to a teammate who has signed in to Thorpe. Each sync replaces the owner. If the email matches nobody, the account has no owner until it does.
- Tier. Once the link is made by hand or confirmed, each sync with a mapped tier value replaces the tier set in Accounts, and without one the Accounts tier stays. The tier picks the account's SLA policy for new requests.
- The card's CRM line. On the triage card, under the title, a line shows the account name, tier, ARR, renewal date and owner, shown as CSM. Fields with no value are left out.
Linked accounts refresh in the background about once a day, at no fixed time. Use Refresh on an account when you need it sooner.
Disconnect
Choose Disconnect on the HubSpot card and confirm. Thorpe stops syncing tier, ARR, renewal and owner from HubSpot, and the field mapping is cleared. Linked accounts keep their last synced fields.
If the card shows Needs reconnecting, HubSpot stopped accepting Thorpe's access. Choose Reconnect HubSpot to keep syncing.
